Introduction
The Road Accident Fund (RAF) is a key institution in South Africa, providing cover for all road users within the country’s borders. Its mission is to rehabilitate and compensate individuals injured in motor vehicle accidents in a timely and empathetic manner while actively promoting road safety. To support its objectives, the RAF is looking to appoint an Administrative Assistant in the Offer Management Department on a 12-month fixed-term contract.
This role is designed for an individual who excels in administrative tasks, has a keen eye for detail, and is well-organized. The successful candidate will support daily administrative functions and ensure compliance with internal policies and processes.
Job Description
The Administrative Assistant will be responsible for handling key administrative tasks, supporting the compliance and document management functions of the Offer Management Department. The role requires strong organizational skills and the ability to work efficiently in a structured environment. Responsibilities include maintaining records, scheduling meetings, assisting with document verification, and ensuring internal compliance with company policies.
Key Responsibilities
- Compliance Administration
- Maintain and update documentation related to department activities.
- Ensure compliance with internal policies and processes.
- Keep abreast of company policies to ensure adherence to internal controls.
- Office Coordination
- Assist with follow-ups on outstanding matters.
- Handle all administrative requests and respond within set timelines.
- Maintain and ensure the availability of office supplies and stationery.
- Verify and validate submitted documents before processing.
- Check for duplicate documents and report inconsistencies.
- Assign reference numbers and accurately capture documents in the system.
- Allocate matters to responsible team members.
- Draft and send official correspondence as required.
- Meeting Support
- Schedule and confirm meetings on behalf of the department.
- Take minutes during meetings and distribute them according to governance standards.
- Maintain a register to track meeting action items.
- Follow up on outstanding meeting resolutions.
- Arrange appointments with internal and external stakeholders.
- Document & Records Management
- Administer record-keeping and filing in line with the RAF filing plan.
- Ensure the filing system is accurate and up to date.
- Retrieve requested information promptly.
- Ensure document confidentiality and proper distribution.
- Allocate file numbers, record data onto internal systems, and store appropriately.
Ideal Candidate
The ideal candidate should be an individual with administrative experience and strong attention to detail. They must be proactive, capable of handling multiple tasks, and comfortable working within a structured environment.
Minimum Qualifications & Experience:
- Matric / Grade 12 Certificate
- At least 1 year of experience in an administrative or similar environment
- Strong understanding of office coordination and compliance functions
- Knowledge of document verification and filing systems
- Experience in government or public sector administration (advantageous)
