This position is specifically for Trimester 2 & 3 and Semester 2 of the 2025 academic year, supporting the Engineering Studies Department. The successful candidates will play a crucial role in providing administrative support to ensure smooth operations of the Part-Time Programmes, which take place on weekdays in the afternoons and/or on weekends.

Job Description

The Part-Time Administration Clerk will be responsible for various administrative tasks related to student registration, exam coordination, and general record-keeping. This role requires meticulous attention to detail, strong organizational skills, and the ability to work independently and as part of a team. The successful candidate will support faculty members, assist students with queries, and ensure compliance with all administrative processes within the institution.

Role Responsibilities

  • Attend to all administrative duties of the Part-Time Programme.
  • Assist with student enrolments, registrations, and data capturing.
  • Support the induction/orientation process for new students.
  • Ensure that student exam entries, preliminary schedules, and year mark entries are captured accurately and submitted on time.
  • Maintain and update student academic records in accordance with TVETMIS requirements.
  • Manage attendance registers for students and staff.
  • Issue exam permits and assist students with administrative queries.
  • Maintain proper record-keeping of academic data and files.
  • Assist faculty and administrative departments with compliance and procedural requirements.
  • Communicate important academic deadlines and information to students and staff.

Minimum Requirements

  • Experience in working with the Coltech system (essential)
  • Knowledge of TVET college structures and policies
  • Ability to work flexible hours, including afternoons and weekends
  • Excellent time management and ability to prioritize tasks
  • Strong problem-solving and decision-making skills
