Job Description
As the Receiving Clerk, you will be responsible for ensuring the seamless flow of goods and documents between suppliers, the warehouse, and administrative systems. The position involves both physical and systems-based stock handling, document verification, and ensuring accurate reporting across all receiving-related functions.
The successful candidate will be expected to:
- Accurately receive stock and match items against delivery notes
- Ensure that documents are correctly captured and processed in sequence
- Manage claims processes (damaged goods, expired stock, incorrect deliveries)
- Generate and interpret reports for claims, stock variances, and outstanding items
- Handle invoice collection, linking, and matching to delivery and order records
- Conduct regular supplier follow-ups regarding outstanding documentation and stock issues
- Assist with stock-taking and variance reporting
- Ensure all data captured is accurate and up-to-date
- Follow company policy regarding daily cash-ups and reporting discrepancies

Role Responsibility
The Receiving Clerk will play a central role in stock management and administrative reporting at the Belfast branch. The role’s success depends on the ability to track stock and financial movement efficiently while supporting operational processes.
Key responsibilities include:
- Matching goods received with delivery notes and verifying quantities and product details
- Capturing delivery data accurately in the system and generating linked invoices
- Managing the filing and record-keeping of all delivery-related documents
- Identifying discrepancies between orders, invoices, and deliveries
- Handling customer and supplier queries regarding deliveries or claims
- Supporting the audit process by maintaining clean and up-to-date records
- Assisting with monthly and quarterly stock counts and reports
- Ensuring daily cash-ups are accurate and discrepancies resolved immediately
Skills and Attributes
To be successful in this role, the candidate must possess both technical and behavioral competencies including:
Technical Knowledge and Competencies:
- Solid computer literacy (especially MS Office Suite)
- Ability to use inventory and ERP systems
- Good verbal and written communication skills
- Ability to generate and interpret reports (stock variances, negative balances, claims, etc.)
- Experience with invoicing, claims, and order systems
