Introduction
Necsa Group is seeking a highly organized and detail-oriented Administrative Officer to support its laboratory operations and customer service processes. This role is ideal for professionals with strong administrative and accounting skills who are eager to contribute to a highly regulated and quality-focused environment. Working within the Customer Technical Support (CTS) unit, you will be responsible for compiling quotations, managing internal/external workflows, and supporting both operational and delivery functions.

Job Description
The Administrative Officer will provide a wide range of customer-related administrative functions that directly support laboratory services and internal departments. The incumbent will also assist the Admin Officer (Operational) with delivery and logistical tasks across various Necsa locations.
Your key responsibilities will include:
- Preparing and issuing quotations for instrument/sample testing services
- Processing and tracking invoices from job/task completions
- Creating weekly administrative reports for invoicing, job registration, and customer feedback
- Maintaining purchase records, initiating procurement workflows, and updating asset registers
- Liaising with customers regarding purchase orders, registrations, and payment queries
- Managing product packaging and order dispatch including records storage and archiving
- Occasional delivery and collection of laboratory items, customer instruments, and administrative materials
- Registering potential customers in the CRM system and supporting their onboarding
- Ensuring delivery vehicles and packaging areas are clean, organized, and compliant
Ideal Candidate
You are a detail-driven professional with proven experience in administration or accounting, preferably in a laboratory environment. You can multitask, meet tight deadlines, and maintain consistent communication with both internal and external stakeholders.
You should be comfortable with systems such as CRM software and Excel spreadsheets, and have a basic understanding of procurement and document control processes.

Minimum Qualifications and Experience
- National Diploma in Administration or Accounting
- At least 2 years’ experience in laboratory administration or technical support
- Practical experience using Microsoft Excel
- Driver’s license would be a strong advantage
