PEP, one of South Africa’s leading retail chains, is offering a Graduate Internship in Imports Coordination, located in the Northern Suburbs of Cape Town. This 9 to 12-month internship is your chance to gain practical experience in managing import processes and working with international suppliers and clearing agents.

The internship is designed to provide you with hands-on experience in documentation, communication, compliance, and reporting processes critical to successful imports and supply chain operations.

Job Description

As an Imports Graduate Intern, your role will be to assist with the coordination of all aspects of international shipments. You’ll work closely with the Imports team to manage documentation, ensure data accuracy, and provide status updates on all import activities. You will also liaise with suppliers, freight forwarders, banks, and internal departments to ensure that import shipments are cleared efficiently and on time.

Key responsibilities include:

  • Creating import shipments and preparing documentary Letters of Credit
  • Coordinating reporting and communication with international suppliers
  • Working with clearing and forwarding agents to address any shipment exceptions
  • Ensuring documents are Customs compliant and updated in internal systems
  • Tracking and prioritizing import shipments and updating all related milestones
  • Monitoring shipment schedules and coordinating deliveries to the distribution center
  • Following up on outstanding documentation to prevent clearance delays
  • Assisting with special projects and weekly/month-end reports
  • Providing general administrative support (emails, reporting, filing)

Ideal Candidate

To qualify for this role, you must have:

  • A Degree or Diploma in:
    • Supply Chain Management
    • Logistics and Supply Chain Management
    • Bachelor of Commerce in Supply Chain and Operations Management
  • Additional qualification in Imports/Exports is advantageous
  • Previous experience in imports/exports is a plus

The ideal candidate is someone who:

  • Is highly organized and detail-oriented
  • Has strong administrative and communication skills
  • Is computer-literate, especially in MS Excel, Outlook, and G Suite
  • Can work under pressure and meet deadlines
  • Shows initiative and is eager to learn in a fast-paced retail environment

Role Responsibility

As a key member of the Imports team, your responsibilities include:

  • Ensuring documentation accuracy and Customs compliance
  • Keeping stakeholders informed about shipment progress and delays
  • Identifying risks in the shipping and clearance process
  • Communicating professionally with both local teams and international suppliers
  • Updating systems with accurate tracking and logistics data
  • Supporting all reporting tasks and audits with clean, reliable records
  • Contributing to operational efficiency through special projects
  • Ensuring on-time delivery of goods to the Distribution Centre
